Donation Committee Goals and Procedures 

Duty of Donation Committee 

The Donation Committee has been established by the CCEB to manage the intake and distribution of items donated to the Grand Stitchers Club.


Purpose of Donations

Stitchers is a social club that encourages the sharing of knowledge to benefit members.  However, we will accept donations that could benefit the club (such as offsetting some of the cost of items we sell or donate) as long as processing these donations doesn’t interfere with our primary focus.  

Donations Will Be Accepted on Monday and Wednesday 

In order to streamline the process and minimize disruptions to members in the Stitchers studio, the club will limit the days that donations are accepted to Monday and Wednesday (as much as possible).


Not All Items Will Be Accepted

Sewing Machines, Sergers and Embroidery Machines that are not in cabinets will be accepted. Other furniture and/or machines in cabinets can be advertised on the bulletin board but will not be accepted by the Donation Committee.


Donation Committee Will Provide SIGs “First Dibs”


Beading, Needlework and Weaving & Spinning - Yarn, Beading and Weaving Supplies will go directly to the Needlework, Beading and Weaving and Spinning Leaders respectively.  They will decide if it’s something they can use for club business (e.g. charity projects, sale items, classes, etc.).  If so, they will keep it for the SIG.  If they can’t use it, but it’s “good” quality, it will be set aside for resale at the bi-annual quilt show.  If it’s not “good” quality, it will be discarded (perhaps to a thrift shop).


Sewing & Quilting - The Donation Committee will do the first sort of fabric and kits to determine if the items are “good” enough for club projects and/or resale events.  They will then meet with the Sewing and Quilting SIG Leaders and the Charity Coordinators so that they can select any items useful for club business.  They will also help decide which items should be set aside for the resale at the bi-annual quilt show.


Member Appreciation Events - “Good” items that haven’t been selected by the leaders or set aside for the quilt show resale will be held until the next Member Appreciation Event.  These events will be scheduled periodically through the year depending upon supply.  At these events, items will be marked with a suggested donation.  There will be a cash box only - no credit cards will be accepted.


Machine Sales

In order to give all members a chance to purchase a machine, donated machines will be offered to club members quarterly via an auction.  Members will have a week to check out the machine(s) prior to the auction. Highest offer will get the machine(s)


Quilt Show Resale

The Donation Committee (not the Quilting SIG) will be responsible for conducting the resale shop at the quilt show.  Grand Stitchers members will have the option to purchase items at a members-only presale.


Once and Done

In order to minimize the cost of storing donated items, the Donation Committee will have a once and done policy.  Any items left after a Member Appreciation Event or after the Quilt Show will be donated to a thrift store.

Non-members are welcome to join us for three visits.
